TERMS & CONDITIONS

At Sorelle Academy Ltd, our priority is to ensure that every student enjoys a positive, friendly, and safe experience in all of our classes. We are committed to creating an environment where learning is fun, respectful, and supportive for all.

To help us maintain these standards, we kindly ask that all students, parents, and guardians review and adhere to the following Terms & Conditions. These guidelines are in place to safeguard the wellbeing of our students and to ensure the smooth running of the Academy.

By enrolling at Sorelle Academy Ltd or using our services, you agree to abide by the policies outlined below.

Payment Terms & Conditions

Termly Payment Structure

Sorelle Academy operates on a termly payment system. All fees are due at the start of each term, regardless of a student’s attendance.

  • Split Payments: Families may opt to split the full term payment into two instalments. However, students who select this option remain liable for the entire term’s fees unless written notice is given at least one month in advance to withdraw the student from the Academy.

  • Automatic Re-enrolment: Each term, we will assume your child is continuing with us unless you notify us otherwise. Please inform us if your child will no longer be attending to ensure accurate registers and invoicing.

New Payment Policy (Effective Immediately)

To ensure the smooth and fair operation of our classes:

  • All class fees must be paid by the 2nd lesson of term (this includes after any half-term breaks).

  • If fees remain unpaid by the 3rd week, the student will be unable to participate in class until full payment is received.

  • A 10% late fee will be added to any balances overdue by two weeks or more.

  • If a child is brought to class by someone other than their parent/carer (e.g., a friend or relative), and fees are still outstanding, they will be asked to wait in the reception area until payment is resolved.

We appreciate your understanding — this policy helps us avoid time-consuming fee chasing and allows us to focus on providing high-quality dance education.

Payment Methods

We accept the following payment options:

  • Card – via our on-site card machine

  • Bank Transfer – must be completed before class begins

  • Cash

Please ensure that payments are made prior to class attendance. Payments made after this point will be treated as late and may result in your child being unable to participate until the account is settled.

Non-Attendance & Refunds

Refunds will not be issued for missed classes due to illness, holiday, or other personal circumstances. The full term fee remains due once your child is enrolled unless proper notice is given.

Outstanding Fees & Non-Payment

If a student attends class and subsequently leaves the Academy with fees still owed, the following process will apply:

  • We will first attempt to resolve the issue through informal communication or written correspondence.

  • If the balance remains unpaid, a formal letter of debt will be issued outlining the outstanding amount and the consequences of non-payment.

  • If necessary, the matter will be escalated to a third-party mediator or pursued through the Small Claims Court to recover the debt.

By attending classes at Sorelle Academy, you accept responsibility for all fees incurred and agree to these Terms & Conditions in full.

Sorelle Academy Policies & Guidelines

Punctuality
Arriving on time is part of our class etiquette. Consistent lateness disrupts the learning experience for all students and may result in missed important information or warm-ups, which could increase the risk of injury. Please ensure your child arrives promptly.


Attendance

Regular attendance is vital for both individual progress and group development. Students who attend inconsistently may fall behind and risk losing their place in productions or at the Academy. Attendance is monitored closely.


Leaving

If your child will no longer be attending, we kindly request at least one month’s notice. Failure to give notice may result in fees still being owed.



Illness and Injuries
While we strive to provide a safe learning environment, all dance activities carry an inherent risk of injury. Our experienced teachers are trained to promote safe practice at all times. Sorelle Academy accepts no responsibility for injuries unless due to a teacher’s negligence.

Please inform us of any medical conditions or injuries before class. Children who are unwell should not attend. If a student becomes ill during class, a parent/guardian will be contacted and must collect them promptly. A First Aid kit is always available on site, with at least one staff member first aid trained.

Discipline
Students are expected to behave respectfully and courteously at all times. Disrespectful behaviour or failure to follow Academy rules may lead to removal from classes or performances.


Bullying
Sorelle Academy maintains a zero-tolerance policy on bullying. All students have the right to learn in a safe, respectful environment. Any reported incidents will be taken seriously and investigated thoroughly.


Uniform

Students must wear a Sorelle Academy T-shirt as a minimum requirement, paired with leggings or tracksuit bottoms. Hair should be neatly tied back, and no jewellery should be worn that poses a safety risk.

Footwear must be suitable for dance:
✓ Trainers, plimsolls, or jazz shoes
✗ No outdoor shoes (e.g., boots, Croc's. Uggs)

Students wearing incorrect footwear may be asked to remove their shoes for safety reasons.

Food and Drinks
Students should bring a bottle of water and may bring a small snack for energy. We operate a strict no-nuts policy.
Sorelle Academy also runs a tuck shop with snacks available for purchase. Chewing gum is not permitted.

Drop Off/Collection

  • All students must sign in at reception.

  • Parents/carers may drop off their child no earlier than 15 minutes before class begins.

  • Please remain with your child until they are signed in unless otherwise arranged.

  • Parents/carers should arrive 10 minutes before class ends for collection.

  • If someone unfamiliar will be collecting your child, staff must be informed in advance.

  • Young children will not be allowed to leave unaccompanied.

  • Our staff are responsible for children only during scheduled class hours. Parents are responsible for their child before sign-in and after sign-out, including in waiting areas and other facilities.

Waiting Areas
If you choose to wait on site, please respect the premises and ensure the space is left tidy.


Personal Property and Mobile Phones
Students are responsible for their own belongings. Mobile phones must not be used during class unless requested by a teacher. Lost items will be kept in lost property for one month before being disposed of. Sorelle Academy is not liable for lost or stolen items.

Sorelle Academy Productions

We hold annual and termly performances to showcase student progress. Our annual theatre production requires participation from all students and may involve costs for tickets, costumes, shoes, and other performance-related items.

Data Protection Policy

All student information is treated with the strictest confidentiality and is handled in accordance with our Data Protection Policy. Staff members are not permitted to discuss any personal details relating to other students with anyone outside of the student's own parent or legal guardian.

Personal information provided to the Academy will be securely deleted once your child leaves, unless you have expressly opted to remain on our mailing list to receive updates and communications from us. We are fully committed to protecting your privacy and managing all data in a secure and responsible manner.



Visual and Social Media
We will not publish images or videos of students under 18 without written parental consent. These may be used for promotional materials, even after a child has left the Academy. If you wish to withdraw consent at any time, please notify us in writing.


Public Insurance Liability

Sorelle Academy Ltd holds valid public liability insurance. A copy of our certificate is available for viewing at the reception desk.



Staff Requirements

All staff are interviewed, DBS-checked, and trained in child protection procedures. We always have at least two DBS-checked adults present during classes, and at least one first-aid-trained staff member on-site.



First Aid

A fully equipped First Aid Kit is present at every class. Any accidents or incidents will be formally documented. Our First Aid and DBS certificates are available to view on request.

Health & Safety

  • A registration form with medical and emergency contact information must be completed upon enrolment.

  • Parents must inform us of any changes to these details.

  • Sign-in at reception is mandatory on arrival.

  • In the event of a fire, students must follow emergency exit procedures and meet at the designated safety point.

  • Risk assessments of all hired premises are carried out regularly.

  • While all care is taken, injuries can occur. Sorelle Academy is not responsible for injuries unless due to staff negligence.

  • No smoking, drugs, or alcohol are permitted on our premises under any circumstances.

Security​

  • All students must sign in upon arrival.

  • Any unknown individuals or suspicious activity must be reported to staff immediately.

  • The reception door will be locked after sign-in. If you are late, please call to be let in.
